POSITION SUMMARY: The Advancement Operations Coordinator provides vital operational, administrative, and fundraising support to the Advancement department. This role ensures the smooth execution of fundraising events, internal project support and monitoring, and operational support to advancement team members.
The ideal candidate is an exceptionally organized and proactive communicator who thrives in a collaborative, cross-functional team environment. By providing the day-to-day operational support needed, this position enables frontline fundraisers to focus on cultivating meaningful donor relationships and driving organizational growth.
ESSENTIAL FUNCTIONS:
Event Coordination
- On Air Fundraising Events: Coordinate the planning and execution of on-air fundraising events. This includes providing the right information to all vendors, teams, and departments, reporting, scheduling phone coverage, and coordinating meetings with internal teams. During the events, act as support for the staff call center and provide producers with important daily updates.
- Major Donor Events: Coordinate major donor events for cultivating relationships with high-capacity donors. These events range from private dinners to pre-show events at concerts.
- Collateral Prep: Coordinate the printing and assembly of event materials.
- Meeting Administration: Schedule departmental meetings, draft agendas, and record actionable next steps to keep teams aligned for fundraising events.
Donor Communication Support
- Project Coordination: Maintain the department’s master calendar to track fundraising appeals, donor events, and campaign timelines. Submit marketing requests to collaborate with marketing on the execution of monthly projects.
- Resource Coordination: Work with Sr. Director of Advancement and internal teams to gather the appropriate stories and materials to provide agency and/or internal teams with the necessary resources to create donor-centric content and appeals.
Operational Administration
- Data: Assist the Advancement Operations Manager in providing teams with the reports, automations, workflows, and email communications needed for their department to succeed.
- Premium Support: Work with vendor, donor care, and marketing to highlight and distribute premiums.
- Administrative Tasks: Manage general departmental inquiries and assist development team members as needed.
EDUCATION AND/OR EXPERIENCE:
- Required Education: Bachelor’s degree or equivalent combination of education, training, and relevant experience.
- Required Experience: 1–3 years of professional experience in an administrative support, project coordination, or event planning role – preferably at a non-profit.
- Preferred Experience: Experience working within a non-profit environment, fundraising department, or marketing agency highly desirable. Prior exposure to a donor database/CRM (e.g., Virtuous, Hubspot, Salesforce) is a major plus.

- Attention to Detail: Meticulous eye for detail, whether proofreading a donor letter, verifying an event timeline, or entering data into a spreadsheet.
Technical & Technical Systems
- Software Proficiency: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Tech-Savvy: Quick to adopt and learn new software systems, including project management tools and virtual meeting platforms (Zoom, Slack).
